Why does SUNY Fredonia need FREDprint quotas? 

The FREDprint quota system is implemented for three primary reasons, aligning with SUNY System-wide policy and the university's commitment to sustainability and cost-management: 

  • Cost Control and Fiscal Responsibility: Printing requires significant recurring costs for paper, toner, maintenance, and energy. The quota system encourages mindful printing and helps the university manage and recover these expenses, ensuring that limited resources are directed toward essential academic and operational needs. 

  • Environmental Sustainability: By limiting the default number of pages, the quota system directly reduces paper consumption and energy waste, supporting the campus's green initiatives. 

  • Preventing Waste and Abuse: Quotas prevent the inadvertent or careless printing of excessively large documents, ensuring the printer queues remain accessible and functional for all users, particularly during peak times (e.g., final exams). The system also promotes duplex (double-sided) printing, which is the most cost-effective option.

Faculty & Staff Individual & Emeritus

Note: Emeritus will be provided with a print quota; however, all printing needs to be for university business purposes only in accordance with the approved Emeritus application and all applicable state regulations.  

Print Volume 

5000 points 

Resets at the start of each Fall and Spring Semester.

Requests can be made to reset the amount of points you have accumulated to effectively increase the individual quota. 

Faculty/Staff Quota Reset Request 

  • Note: The actual number of pages your quota points will cover depends on the print job type. Black & White Duplex is the most cost-effective option. 

How do I view my quota and if I have multiple accounts?

View balance for the active account

In the upper right corner of the user portal, under the active account name, users can view the points used as well as the limit.

The system automatically calculates points in advance for submitted documents and updates them when files are deleted.

How can I fix or prevent issues with print jobs failing to release on Toshiba printers due to incorrect paper size or odd dimensions? 

Steps for ensuring printing to letter sized paper from a browser 

  1. Open the Print Dialog 

  1. In your browser (Chrome, Edge, Firefox, etc.), press:  

  1. Windows: Ctrl + P 

  1. Mac: Cmd + P 

  1. Select Printer 

  1. Choose your physical printer or Adobe PDF if saving as PDF. 

  1. Set Paper Size 

  1. Look for More Settings or Preferences in the print dialog. 

  1. Under Paper Size, select:  

  1. Letter (8.5 x 11 in). 

  1. If Letter is not listed:  

  1. Go to Printer Properties → Paper/Quality → Paper Size → Select Letter. 

  1. Adjust Scaling 

  1. Under Scale, choose:  

  1. Fit to Page or Shrink to Fit. 

  1. This ensures the web content fits within the Letter dimensions. 

  1. Check Margins 

  1. Set margins to Default or Custom (e.g., 0.5 in) for proper layout. 

  1. Preview Before Printing 

  1. Use the preview pane to confirm the content fits correctly on Letter size. 

  1. Print or Save 

  1. Click Print (or Save as PDF) to finalize. 

 

Steps to resize a PDF in Adobe Acrobat Reader 

  1. Open the PDF 

  1. Launch Adobe Acrobat Reader

  1. Go to File → Open and select your odd-sized PDF. 

  1. Access Print Settings 

  1. Click File → Print (or press Ctrl + P). 

  1. In the Print dialog, select Adobe PDF as the printer. 

  1. Adjust Page Size 

  1. Under Page Sizing & Handling, choose:  

  1. Fit (scales the content proportionally to fit the page). 

  1. OR Shrink Oversized Pages (if the original is larger than Letter). 

  1. Ensure Paper Size is set to Letter (8.5 x 11 in)

  1. Optional: Center and Scale 

  1. Check Choose paper source by PDF page size OFF

  1. Enable Auto-Center if available. 

  1. Preview the layout in the thumbnail before printing. 

  1. Print to PDF 

  1. Click Print

  1. Choose a location to save the new PDF. 

  1. The output will now be Letter-sized

What if I have departmental printing needs or Work Studies that need to print? 

Departmental accounts will be issued with a separate quota on a case-by-case basis following a request submitted by the department. This is to ensure that the accounts are used specifically for unit functions (e.g., general office admin work) and not for individual printing needs like exams or course materials, which should be supported via the individual's allocation. Work Studies or student employees assigned to a department will also have a separate quota allocated. Please email help@fredonia.edu to submit your request for these needs.

How Your Quota Works 

The FREDprint quota system uses a point-based model to manage student printing consumption and costs. 

  1. Point Addition: When you release a print job, the total point cost of that job is immediately added from your point balance. 

  2. Example Rate: A standard 8.5" x 11" black and white, single-sided page costs 4 points

  3. Cost Efficiency: The system encourages efficient printing. Jobs with lower point costs—such as double-sided (duplex) printing—consume less of your overall point quota. 

This model allows the system to accurately track resource use by assigning a variable point cost to different print types (e.g., color, size, duplex).

The system automatically deducts points from your Active Account balance when you release a print job. Your Active Account can be selected when releasing the print job at the printer, or when submitting a print job from the web portal. 

The account that you will be looking to use will start with the semester and then the type of account. For example, students will be using Fall 2025 – Student and Faculty/Staff will be using Fall 2025 – Faculty/Staff. New accounts will be created and assigned at the beginning of each semester. All users will see a DO NOT USE account in their portal, and this is for administrative use only – please disregard.
