Software Request Process for Faculty/Staff

 ITS strives to assist in keeping needed software for instruction within labs up to date, to ensure that educational outcomes are maximized. With changing choices in software occurring, ITS wants to ensure that only needed software is updated, tested, and deployed to labs, as requested by the instructors.  

Deadlines and Request Procedures 

To ensure necessary software is available when the semester begins, please adhere to the following processes and deadlines:

Existing Software Upgrade or Relocation (Software currently approved and licensed by the University) 

1 month prior to the start of each semester 

Complete the Existing Lab Software Upgrade Request Form. 

New Software Request (Software not currently licensed or approved by the University)

Testing and Full Deployment 

Whether an existing software upgrade or newly requested software, testing is critical to ensure that instruction expectations can be met. Ahead of full deployment into labs and classrooms, testing of the software must be performed by the requesting instructor. Without successful testing, a full deployment will not occur, as that could create significantly more time in determining a final solution. 

ITS reserves the discretion to suspend the need for testing by the instructor, primarily based on the complexity of the software. In such cases, ITS will notify through the ticket created through one of the above workflows. 

Important Notes on New Software (TRP) 

  • Licensing and Compliance: New software requests require submission of installation media or download links, and proof of licensing. 

  • Authorization Timeline: As part of the TRP, the Purchasing Office and University Services are responsible for reviewing and authorizing all software terms and conditions. This review and approval process may take six to eight weeks or longer. 

  • Prohibited Software: Personally owned or trial software cannot be installed in Computer Labs or Classrooms. 

Late Requests 

Requests received after the 1 month before the start of the semester deadline may be delayed and scheduled for implementation during a campus break period after the semester has begun, or when the specific lab or classroom can be made available.
