DOCUMENT CONTENT

The purpose of this addendum to the RAC User Services Policy Manual (last updated October 1, 2011) is to outline and clarify the changes and additions to the Policy Manual that are being made in light of the current building expansion and renovation project and the opening of the new wing, scheduled for fall semester 2016.

These policies will be effective for the 2016-17 season and will be reviewed at the end of that season by the Center Director in consultation with the constituent departments and Dean of the CVPA.  If no major changes are called for at that time, the policies and procedures contained in this addendum will be incorporated into the main body of the Policy Manual.

  1. Additional Dedicated Spaces: The classrooms, studios, shops and offices built or renovated for the Department of Theatre and Dance and the Department of Visual Arts and New Media are considered dedicated spaces for the respective departments. This includes the three dance studios and the two acting studios.  RAC staff members will not be providing scheduling, operational, technical, marketing, publicity or front-of-house services for activities in these spaces.

  2. Common Space: the Costello Community Room is a considered common space.

    1. The Costello Community Room is reserved for classes of the Department of Theatre and Dance and the Department of Visual Arts and New Media from 8 a.m. through 5 p.m., Monday through Friday when classes are in session.  TAD and VANM will work out the schedule between the two departments.

    2. Academic departments, administrative units and recognized student groups may schedule meetings, receptions, pre- and post-performance talks, etc. through Rockefeller Arts Center’s normal scheduling procedures.  

    3. TAD and VANM will establish a “standard set up” for the arrangement of tables, chairs and other equipment in the room.  All users are expected to the return the room to the standard set up before leaving the room and for removing any of equipment or materials they brought with them.

    4. Users of the community room are responsible for taking care of their own audio-visual needs. The equipment that comes with the room including the small projection room/booth must be operated only by individuals who are approved by TAD, VANM or the Multimedia division of Information Technology Services.

    5. Requests for the use of the room by off campus not-for-profit organizations will be considered on a case-by-case basis, and will be subject to a rental fee to be determined by the Center Director.

  3. Common Space: The West Atrium Lobby (previously referred to as the FSA café) is considered a common space.  Since it adjoins two public entrances to the new wing, it cannot be reserved for the exclusive use of any one group or organization.  It may be used from time to time for special receptions or other gatherings. To avoid having two groups using the space at the same time, groups wishing to hold events in the space are expected to schedule it through Rockefeller Arts Center.

  4. Events in the Community Room and West Atrium Lobby that are scheduled as “public events” with RAC will show up on the campus-wide EMS calendar.  However, RAC will not provide operational, technical, publicity or front-of-house services for such events unless the event is an RAC presentation.

The 2nd Floor Conference Room, previously scheduled by Rockefeller Arts Center, is turned over to TAD and VANM for scheduling purposes. These are the two departments that use this space most often.  These departments will establish a method of schedule the space.
